How billing works
Starter, Pro, and Agency plans start with a 14-day free trial — billing only begins after the trial ends. Upgrade, downgrade, or cancel any time — no lock-in, no penalty. Enterprise is billed monthly and set up directly with our team.
Common questions
What counts as a client?
A client is any active client record in your workspace. You can archive clients that are no longer active.
Do my clients need to create an account?
On Starter, no — clients receive a share link or PDF. On Pro and Agency, you can optionally give clients a private portal login so they can view all their reports in one place, leave comments, and approve reports.
What is the client portal?
A private, branded login for your clients where they can view all their compiled reports, download PDFs, leave comments, and approve reports. Pro includes 10 portal clients. Agency includes unlimited.
What is the Client Experience Pack?
An add-on for Pro users that unlocks interactive portal features — client comments on reports, report approval, and a live activity feed showing work being delivered in real time. Agency includes all of these by default.
What are the three AI features?
AI report narrative writes your monthly report opening paragraph automatically from logged activity — included on all plans including Starter. AI smart workload assistant turns a plain English description into a structured task assignment (Pro and above). AI client insights digest analyses six months of delivery data and surfaces trends and risk signals (Pro and above).
What are the three report styles?
Classic is clean and structured — the default. Executive leads with metrics and wins as bold cards, built for stakeholders who scan. Minimal strips back to narrative and highlights only. All three are on every plan.
Can I control which sections appear in the report?
Yes. Drag sections to reorder them. Toggle any section off to hide it from the client. Changes apply to the share link and PDF instantly.
Can I export timesheets and workload data?
Yes. Both timesheets and workload data can be exported to Excel on Pro and Agency plans.
Can I upgrade or downgrade later?
Yes, any time. Your data stays intact when you change plans.
When does billing start?
Only after your 14-day free trial ends. Cancel before then and you will never be charged.
Does Vayra send automated notifications?
Yes, on Pro and Agency. Team members get a Monday digest of open assignments. Managers are alerted when a client drops to red. Clients are notified when their report is ready. Managers are emailed when a portal client comments or requests a callback. All configurable in Settings.
What does Enterprise include?
